How Online Inventory and Pricing Works - This is a complex read...

RSS

Inventory is a little more complicated discussion only because of all of the different things that go in to connecting RockSolid with the website.

First - Each time we do an import from RockSolid, we only bring in items from the POS that have a quantity greater than 1 in stock. We import the quantity in stock so at that moment, it's very possible that inventory online is accurate.

During import, we have an algorithm that says mark an item as out of stock (put it in Draft mode) if the following are true:
     - We only have 1 in stock   AND
     - The item price is less than $30   AND
     - The item was received before 1/1/2023   AND
     - No items were sold after 1/1/2022   AND
     - The item was created before 1/1/2024

If we stumble across items that are out of stock and discontinued, obviously, we mark them DRAFT or delete them.

Items are not deleted automatically, they are flagged each time we do an import with the date of the import. So if a bird feeder got imported 7/1/2025 the tag shows that date. If that item is still in stock on 7/15/2025 when we import them again, the new tag is 7/15/2025 and replaces the old item. So, if we do 4 imports over the course of several weeks and after the 4th one, we see that the tag is still 7/1/2025 (the first time we imported it), we know that either, it happened to be out of stock each time we did an import, or, more likely, it has never been imported since because the quantity is and has been zero. At that point, we usually mark them as draft and delete them later.
